Big White Central Reservations - Booking & Cancellation Policies
Hamilton Spring Break VIP Trips 2015

RESERVATIONS MADE UP TO FEBRUARY 1, 2015:

* At the time of booking, Big White Central Reservations requires a deposit to confirm the booking.  The deposit is equivalent to the rate of the first nights accommodation or $100.00, whichever is greater, plus full payment including all taxes and surcharges of the air portion of your package.

* From the date of the original package booking, you have up to 10 days to cancel the reservation without penalty. (Eg: if you book your reservation January 16th you have up to January 26th to cancel without penalty)

*After 10 days, the accommodation portion of your deposit is non-refundable should you cancel.

 After 10 days, air cancellations are subject to a fee $125 CAD (plus tax) per person should you cancel.

* Final payment for the package is due by February 10th 2015. 

* Should you cancel your package reservation after February 10th 2015 there are no refunds on any portion of your package booking.

* Failure to show up for the first flight segment of your scheduled round trip flight will result in the cancellation of the return segment. The fare paid for these cancelled segments will be forfeited and compensation will not be issued.

RESERVATIONS MADE FEBRUARY 2-10, 2015:

* At the time of booking, Big White Central Reservations requires a deposit to confirm the booking.  The deposit is equivalent to the rate of the first nights accommodation or $100.00, whichever is greater, plus full payment including all taxes and surcharges of the air portion of your package.

* From the date of the original package booking, you have up to February 10,2015 to cancel the reservation without penalty. (Eg: if you book your reservation February 4th you have up to February 10th to cancel without penalty)

*After February 10, 2015, the accommodation portion of your deposit is non-refundable should you cancel.

* Up to February 10, 2015, air cancellations are subject to a fee $125 CAD (plus tax) per person should you cancel.

* Final payment for the package is due by February 10th 2015. 

* Should you cancel your package reservation after February 10th 2015 there are no refunds on any portion of your package booking.

* Failure to show up for the first flight segment of your scheduled round trip flight will result in the cancellation of the return segment. The fare paid for these cancelled segments will be forfeited and compensation will not be issued.

RESERVATIONS MADE AFTER FEBRUARY 10, 2015:

* At the time of booking, Big White Central Reservations requires full payment to confirm the booking.  This includes all charges for accommodation, air fare, lift tickets & shuttle transfers.

* Should you cancel your package reservation after February 10th 2015 there are no refunds on any portion of your package booking.

* Failure to show up for the first flight segment of your scheduled round trip flight will result in the cancellation of the return segment. The fare paid for these cancelled segments will be forfeited and compensation will not be issued.

SPRING BREAK VIP TRIP RESERVATIONS:

  • Must be booked and confirmed by February 27th, 2015 or earlier if space is sold out.
  • Please note upon check-in all guests are required to provide the credit card used for their booking as a security deposit pre-authorization of the first nights rack room charge or $100, whichever is the greater, per unit for all properties except Sundance and Stonegate where the security deposit is $600 per unit. (Please note a pre-authorization is not an additional charge, rather a hold on funds as a security deposit which is then released back on your credit card following check-out.)   
  • There is no refund for unused portions of your vacation.
  • No changes are available for flights, travel dates or airport transfers.

AIR BOOKED WITH BIG WHITE CENTRAL RESERVATIONS

Hamilton – Kelowna Return

  • Full payment including all taxes and surcharges is required at the time of booking.
  • No changes permitted to flight numbers or times, names, airport transfer times or travel dates.
  • From the date of the original booking, you have up to 10 days to cancel the air portion of your package without penalty.
  • After 10 days, air cancellations may be subject to a fee $125 CAD (plus tax) per person.
  • Air cancellations can only be made up to February 10th, 2015 and are subject to a $125 CAD (plus tax) fee per person per direction for all cancelled seats.

PAYMENTS, FEES, TAXES AND SURCHARGES

  • Only cash is accepted for purchases of food & beverages onboard the aircraft.

IDENTIFICATION AND CHECK-IN INFORMATION

  • Guests will check in at the Flair Air / NewLeaf counter at Hamilton and Kelowna Airports.  The specific lcoation for each flight will be identified on the confirmation / ticket information provided.
  • All guests over 18 must provide picture ID showing name, age and birthdate (proof of age is require for those under 18)
  • Guests should check in 2 hours prior to scheduled departure
  • Guests are required to be through security and at their departure gate at least 30 minutes prior to the scheduled departure of their flights
  • Guests arriving at the gate less than 15 minutes prior to departure may be denied boarding, with no compensation for missing the flight

  • It is the guests responsibility to ensure they have the appropriate identification and travel documentation for their flights as we will not be responsible for denied entry or acces to the flight.

BAGGAGE ALLOWANCE

  • Guests are permitted 1 carry on bag at no charge, which must be no larger than 41cm x 15cm x 33cm (16in x 6in x 13 in) and weigh less than 11kg (22lbs)
  • Guests are permitted 2 checked bags at no charge, which must be no larger than 76cm x 30cm x 61cm (30in x 12in x 24 in) and weigh less than 23kg (50lbs) or a set of skis, boots & poles (approximately 203cm (80in)
  • Any additional checked bags will be charge $25 per bag each way
  • Overweight bags (greater 23kg (50lbs) will be subject to an additional charge of $25 per bag each way
  • There is little likelihood that bags will be lost, as this is a non-stop charter flight. If a bag is left behind, for whatever reason, NewLeaf will arrange for the bag to be delivered to the resort at their cost.  All bags will be insured by NewLeaf for up to a maximum of $1800 per passenger.

TRIP CANCELLATION INSURANCE

We encourage all guests to purchase Trip Cancellation Insurance.  This insurance can be bought within 48 hours of making your reservation.  If you have missed this deadline and are interested in purchasing this insurance please contact Big White Central Reservations.       

CONFIRMATIONS

To ensure your holiday has been booked accurately, we ask that you carefully review your confirmation to ensure the following information is correct:       

*Dates of Travel

*Location of your accommodation and room type

*Additional activities such as lift passes, airport transfers, rentals etc.
